Deposits: 50% of the total reservation
Payment Policies: We gladly accept MasterCard, Visa and Discover Card. A Major Credit Card is necessary to have on file. Debit Cards are accepted however, keep in mind that your debit card may have a spending limit. Be sure to contact your bank if you are planning on using your debit card. A pending authorization may appear on your online banking and will remain for several days as a hold. This amount will be released after several days. This is not a double charge. We do not accept personal checks. If you would like to pay by money order or cashier’s check, you may do so as long as you payment is made within 14 days after your reservation and 30 days prior to your arrival date. No exceptions.
We gladly accept cash payment; however you must plan to arrive to our office during business hours (Office hours are posted on the website). Prior arrangements must be made in order to pay cash upon arrival. You are welcome to pay with a cashier’s check or money order if the payment is made 14 days prior to arrival. However, if paying by cashier’s check or money order, a major credit card is required to hold a security deposit of $100 per bedroom or a cash security deposit of the same. After departure the security deposit will be refunded by check with in the same week of departure as long as there are no damages.
Cancellations: Alpine Mountain Chalets has one of the friendliest Reservation Policies in the Smoky Mountains. To make a reservation, only 50% of the total reservation is required for a deposit. Payment in full is required prior to arrival. If the guest would like final payment to be paid in cash, the guest must arrive prior to the office closing. Office hours are posted on our website or if the balance is to be charged to any other credit card, other than the card on file, then it is the guest responsibility to phone in the request prior to arrival. We do not except personal checks. If contact is not made by the guest, Alpine Mountain Chalets will automatically charge the balance due to the original credit card on file. If unable to charge balance due to credit card on file, Alpine Mountain Chalets will make every attempt to contact guest for final payment. Reservations not paid in full prior to arrival, are subject to cancellation without notice, unless other arrangements have been made with our office. If booking is made 14 days or less prior to arrival, then the entire balance will be charged at the time of booking.
We have a no refund policy. Should you need to change your dates, you can reschedule your reservation any time within one year with no penalty, as long as the change is processed at least 14 days prior to your arrival date, however, when the new reservation is made, a $50 rebooking fee will be charged to the new reservation. Cancellations within 14 days of arrival will result in all deposit funds being forfeited. Alpine Mountain Chalets offers a Deposit Guarantee for an additional 7% of the reservation. The Deposit Guarantee charge is optional. If selected our refund policy changes; if you need to cancel your reservation up to 48 hours prior to arrival, you will be refunded all monies deposited except for the Deposit Guarantee charge.
To protect you from any type of credit card fraud our company has the following policy: Credit card holder MUST be present when checking in and provide a valid Driver’s license or a state issued ID along with the credit card. If the card holder is not going to be present at check in or is not occupying the unit, the cardholder must notify us and provide us with the following information by fax or email. A copy of the credit card front and back, a copy of a valid identification, the signed registration card and a brief explanation of the credit cardholders knowledge that the renter has permission to use the credit card.
WE RESERVE THE RIGHT TO TRANSFER YOUR STAY TO ANOTHER CABIN, IF A PROBLEM IS FOUND WITH THE PROPERTY YOU HAVE CHOSEN. We understand that you have made a choice when you reserved your vacation rental, however if something occurs that would hinder your vacation, we try our best to take care of the circumstance before we resort to moving you into another property.
Arrival/Departure: Check-in is 3 pm. Please do not expect to check in early. However, if you are in the area before 3 pm, stop by the office. If your cabin is clean and ready we will be happy to allow you to go to the cabin. If it is not ready we will gladly take your cell number and contact you should the cabin come available before 3pm. Due to our high standards for cleanliness, there is a chance that not all units will be ready for check-in promptly at 3 pm, especially during peak and holiday season. We ask for your patience and suggest that you have alternate plans for a couple of hours in case your unit is not ready. Alpine Mountain Chalets offers several check-in options.
If your cabin is paid in full and all check-in documents are returned properly filled out and a signature is on file, you can opt to receive directions to your cabin via email. Upon arrival you will call the office for the code to the cabin, between the hours of 12 noon and 5pm, unless you are arriving on Sunday. The Sunday hours for calling are 2pm to 5pm. If you have purchased tickets or packages that need to be picked up; our office hours are 9am to 5pm Mon – Sat. If you have a balance, please make arrangements to be at our office before 5pm EST., at which time we will give you directions and the code to access your cabin along with any tickets or packages that you may have purchased. If your cabin is paid in full, and you did not opt to receive directions to your cabin via email, you can pick up your check-in documents and any purchased items at our office prior to 5pm EST. Otherwise, contact our office for the late check in procedures.
Please keep in mind, if your cabin is paid in full and we have not received your check-in documents properly filled out, we ask that you come to the office before 12pm (noon) the following day to complete your check in documents. Guests who do not complete check in documents by the end of business hours the day after arrival will be assessed a $50.00 late processing fee.
